A resort purchasing executive is responsible for overseeing the procurement of goods and services necessary for the resort's operations.
This includes negotiating with suppliers, managing inventory, and ensuring the timely and cost-effective acquisition of high-quality products.
The role involves coordinating with various departments to understand their needs, maintaining strong vendor relationships, and ensuring compliance with budgetary constraints and quality standards.
Additionally, the purchasing executive must stay updated on market trends, conduct cost-benefit analyses, and implement effective procurement strategies to optimize resource utilization and support the resort's overall goals.
Key Responsibilities:
Procurement and Ordering:Ordering goods and services in a timely manner to meet the resort's needs without causing delays or stockouts.
Sourcing high-quality products at competitive prices.
Finding and evaluating potential suppliers for goods and services needed by the resort.
Negotiating terms, prices, and contracts with suppliers to secure the best deals.
Building and maintaining strong relationships with suppliers to ensure reliability and quality of goods and services.Inventory and Quality Management:Keeping track of inventory levels to ensure there is enough stock without overstocking.
Ensuring timely replenishment of stock to maintain smooth operations.
Evaluating the quality of products and services received to ensure they meet the resort's standards.
Periodically auditing suppliers to ensure compliance with quality and contractual agreements.Budgeting and Cost Control:Prepare and manage the purchasing budget, ensuring cost efficiency and adherence to financial guidelines.
Analyze spending patterns, identify cost-saving opportunities, and implement strategies to reduce expenses.
Monitor and control purchasing-related costs, such as shipping, taxes, and tariffs.
Review and approve purchase orders and invoices to verify accuracy and compliance with budgetary constraints.Compliance and Documentation:Ensure compliance with resort policies, legal requirements, and industry regulations related to procurement.
Maintain accurate and up-to-date procurement records, including contracts, purchase orders, invoices, and supplier information.
Conduct regular audits to assess adherence to procurement processes and identify areas for improvement.Qualifications and Skills:
Bachelor's degree in Business Administration, Supply Chain Management, or a related field (or equivalent experience).
Proven experience in procurement/purchasing roles, preferably within the hospitality or resort industry.
Strong knowledge of procurement best practices, contract negotiations, and supplier management.
Familiarity with inventory management techniques and software.
Excellent communication, negotiation, and interpersonal skills.
Analytical mindset with the ability to analyze data, identify trends, and make data-driven decisions.
Hands-on experience and thrive in practical, action-oriented person.
Proficiency in English & Bahasa Malaysia; knowledge of additional languages (Chinese, French, German) is a plus.
