Responsibilities: Answering, forwarding, and screening phone calls in a professional manner, and directing them to the appropriate departments or personnel in the Complaints Secretariat; Attend to walk in(s) with a positive & helpful attitude; Receiving, sorting and distributing mail and correspondences received; Open files for new complaints and to ensure all documents related thereto are properly scanned and uploaded into the database; Handle payments received by Complainants, Respondents etc including issuing receipts thereafter; Manage bookings for Disciplinary Committee hearings and other paperwork related to the same such as attendance sheets; Manage the general email (when necessary and as directed); Assisting with a variety of administrative tasks/general clerical duties including copying, scanning, organizing & shredding documents etc; andTo handle all other matters as instructed by the Director of the Complaints Secretariat/Disciplinary Board/Bar Council from time to time. Qualification and Requirements: Must possess a diploma or degree in Business Administration or any related field.Working experience in a receptionist role would be an added advantage;Friendly, approachable, and professional demeanour in dealing with people;Familiarity with office management software (e.g., Microsoft Office) and basic office equipment.Excellent communication skills and has the ability to interact well at all levels;Proficient in English & BM, both written and spoken; Highly attentive to details and able to multi-task; andAble to work in a fast-paced environment and long hours including weekends, if necessary.
