Responsibilities:
Reports to Sales Admin Manager.
Assist in email correspondences, replying when required based on urgency and following up on email content requirements such as product inquiries.
Handle incoming phone call inquiries, referring callers to respective personnel if necessary.
Ensure data accuracy in the server/system, including product names, serial numbers, and individual selling prices.
Provide day-to-day administrative support.
Arrange and organize appointments for both internal and external meetings.
Coordinate monthly sales meeting requirements, including booking conference rooms, preparing minutes of meetings, and distributing them for further actions and follow-up.
Manage flight and hotel booking arrangements.
Coordinate offsite meetings, conferences, and other events when necessary.
Prepare and compile profile/product presentations and necessary handouts/documents for proposals/tenders.
Conduct research and stay updated on the latest information in the industry and products.
Review and restructure the department's organization chart to ensure proper communication channels as needed.
Assist in preparing expense claims for submission and follow up on approvals.
Ensure team members adhere to their tasks/requirements assigned by SSM and SPM.
Submit monthly sales reports and sales updates.
Keep track of sales targets.
Maintain and update customer information and sales records regularly.
Communicate customer feedback/complaints as necessary.
Perform ad-hoc duties as required.
Manage the team in the absence of the Sales Admin Manager.
Requirements:
Candidate must possess at least a Diploma or equivalent.
Minimum 3 years of working experience in a secretarial or administrative position with knowledge of MS Office (particularly MS Excel).
Mandarin speaking/reading/writing - MANDATORY.
