We are seeking a highly organized and proactive Sales Admin to join our dynamic team. The ideal candidate will play an important role in ensuring smooth daily operations by handling a variety of administrative tasks including budget planning and management, invoice payments, documentation management and duty travel arrangements for the department.
Key Responsibilities:
Budget Planning and Management:
Assist in managing and tracking departmental budgets.
Help prepare annual budget planning, budget reports and provide recommendations for cost-saving measures.
Invoice Management:
Process and manage all S&D invoice payments efficiently, ensuring accuracy and timeliness.
Maintain records of all financial transactions related to invoices.
Documentation Management:
Organize and maintain both S&D physical and electronic documents.
Ensure that all documentation is up to date, easily accessible, and complies with company policies.
Duty Travel Arrangements:
Coordinate and book flights, hotels, and other travel-related services for employees.
Ensure all bookings are within the company's travel policy and budget.
Review staff claims
Administrative Support:
Provide general administrative support including scheduling meetings, managing calendars, and handling correspondence.
Liaise with internal and external stakeholders to facilitate smooth operations.
Qualifications:
Education: A diploma or degree in Business Administration, Management, or a related field.
Experience: Proven experience in an administrative or executive assistant role.
Experience in invoice processing and budget management is highly desirable.
Skills: Excellent organizational and multitasking abilities.
Strong communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management systems.
