### Job Description:
We are seeking a passionate and adaptable Secretary to join our team on a part-time basis. The ideal candidate will have a keen attention to detail, strong organizational skills, and a commitment to excellence in all tasks. This role is vital to supporting our executive team and ensuring our office runs efficiently.
### Key Responsibilities:
1. **Administrative Support:**
- Provide comprehensive administrative support to executives and team members.
- Manage schedules, including setting up appointments, coordinating meetings, and arranging travel logistics.
2. **Documentation Management:**
- Prepare and format correspondence, reports, and presentations with high accuracy.
- Maintain and organize files and records to ensure easy access and retrieval of information.
3. **Communication:**
- Act as a point of contact for internal and external communications, ensuring information is shared promptly and accurately.
- Answer and direct phone calls and emails, taking messages when necessary.
4. **Meeting Coordination:**
- Assist in organizing meetings, including preparing agendas, taking minutes, and following up on action items.
- Facilitate the setup of conference rooms and necessary equipment.
5. **Research:**
- Conduct research as requested to support various projects or inquiries, compiling data and presenting findings in an organized manner.
6. **Office Management:**
- Ensure the office environment is well-maintained, including managing supplies and equipment inventory.
- Assist in onboarding new employees by providing necessary resources and support.
7. **Compliance and Procedure Maintenance:**
- Help ensure compliance with company policies and assist in implementing new procedures as required.
### Requirements:
- **Education:**
- Diploma or equivalent qualification in Administration, Business Management, or a related field.
- **Experience:**
- Minimum of 2 years of experience as a Secretary or in a similar administrative role.
- **Technical Skills:**
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Familiarity with office management systems and procedures.
- **Personality Traits:**
- Passionate about providing top-tier administrative support.
- Adaptable and able to thrive in a fast-paced and evolving environment.
- **Soft Skills:**
- Excellent attention to detail with the ability to maintain accuracy in all work.
