ResponsibilitiesCoordinates collection and preparation of budget expenditures, complete, code and submit purchase order.
Sourcing suppliers based on price, availability, necessity, quality, and logistical expenses.
Collaborating with various internal departments to ensure that they fulfill all customer requests.
Coordinating with shipping agencies and sellers to ensure timely deliveries and oversee the integrity and quality of delivered goods and services.
Liaising with delivery and warehouse teams to ensure goods are received on time.
Monitoring inventory and writing orders to refill stock.
Maintains physical and digital filing systems.
Inspecting purchased products upon delivery and reporting any issues timely.
Updating all records of purchased products.
Review invoices for accuracy of billing, payment dates and any comments or notes attached to the invoice.
Resolve any of the following issues: make a purchase order on behalf of the company; process a purchase order or receipt of goods or services; review, process or pay bills.
Manage office inventory by assigning or reassigning responsibilities for processing each order or receipt of items or services.
Resolve any payment disputes, such as asking for a credit memo; asking to be paid in full; requesting an explanation for why a payment was returned.
Respond to requests from vendors and customers regarding invoicing and payment and requesting delivery of company products/services.
Inputs and updates information in databases and spreadsheets.
Responds to emails and other digital queries and correspondence.
Time management and prioritization skills to ensure efficient functioning of schedules and office systems.
Skills and QualificationsProven success in office administration.
Superb written and verbal communication skills.
Strong time-management and multitasking abilities.
Proficiency with office applications, and aptitude for learning new software and systems.
Ability to maintain confidentiality of company information.
High school diploma or equivalent.
Proficiency in SAP is an added advantage.
