Responsibilities:Attend to telephone calls and inquiries professionally pertaining to support services inquiries.
Assist in compiling and following up on various reports such as Opex, Capex, Manpower, and training records.
Draft memos and letters when required.
Compile and complete the processing of documents and procedures in compliance with ACHS and MSQH requirements.
Accommodation Management:Manage and attend to inquiries on SunMed Residence and Palmville Residence.
Coordinate with external vendors as part of the maintenance services for Palmville.
Coordinate with IPC for the accommodation needs of international and interstate patients at Palmville Apartments, ensuring that rooms are prepared for their arrival.
Review monthly invoices for rented Palmville units.
Carpark Management:Coordinate and compile carpark applications and access arrangements for staff and consultants, working closely with HR to ensure carpark charges are deducted from individual payrolls.
Contract Management:Follow up with the legal team on reviewed contracts and ensure the timely renewal of all required contracts for retail tenants and service suppliers.
Assist in preparing MOI request forms for all new contracts.
Coordinate the monthly tenant audit on their operations ensuring compliance with company policies and procedures.
Compile all required documents for tenants for accreditation of ACHS, MSQH, or other accreditations.
Coordinate and liaise with internal parties and external vendors regarding all official signage throughout the hospital, including directional and doctor signage.
Assist in coordinating the installation of wall paintings and furniture layout setup in designated areas.
Requirements:Minimum Diploma or Degree in relevant areas such as Management, Administration, Operations, Hospitality, or other relevant qualifications.
2 years of experience in an operations capacity demonstrating a high level of operational knowledge.
Able to create documents and reports using Microsoft Word, Excel, and PowerPoint.
Good written and oral communication skills.
