We have an exciting opportunity for you to join our team asCorporate Secretarial Team Lead , based in ourTricor Shared Services, Kuala Lumpur, Malaysia . Reporting to theOperation Manager , this full-time and permanent position is based inMalaysiaand offers regional coverage, allowing you to make a significant impact to ourCorporate Secretarial departmentand its growth.
Key responsibilities:
Lead, guide and supervise a team of Senior Specialists and Specialists in the execution and handling of a full range of corporate secretarial services and matters for international clients, including company incorporation in different jurisdictions.
Ensure timely and proper execution by the Team of statutory compliance duties including preparation and arranging for prescribed returns and forms generated in the View Point ("VP") and other Tricor's systems used to monitor, update and maintain all corporate secretarial records of clients.
Monitor, review, approve and provide guidance to the Team on corporate secretarial tasks of all levels of complexity including other assignments and administrative support to the Business Unit team.
Ensure proper updating of all clients' data/documents/records by the Team in the statutory records/files in the VP at all times.
Liaising directly with the Business Unit as necessary in resolving any key issues/challenges encountered by the Team.
Ensure that team members acknowledge receipt of client requests/queries/correspondences within 1 business day and follow-up for information and/or source documents within 2 business days.
Ensure the application of best practices in corporate governance and compliance with all statutory/regulatory requirements.
Ensure proper and timely execution by Team members in any other tasks as assigned by Superiors and/or Management.
Strictly adhere to internal policies and Standard Operating Procedures.
As necessary, provide direct support to the Senior Specialists and Specialists, including data entries, data updating, data storage, and other corporate administrative duties.
Plan, strategize, direct, oversee and lead the corporate secretarial tasks of the Team members.
Ensure that Team members meet the firm's expectations for efficient productivity, quality, continuous improvement and goal accomplishment.
Monitor Team members' work schedules, volume of work and assignments, leave and paid time-off, telecommuting, cover for absenteeism and overtime scheduling as necessary.
Provide Team's utilisation and performance reports as scheduled and requested by Operation Manager and/or Practice leader.
Assist and provide support to the Operation Manager in all management and administration matters as assigned or requested.
Assist and/or perform any other tasks, ad-hoc work/assignments and projects as assigned by the Practice Leader/Operation Manager.
Key requirements:
Possess and demonstrate good supervisory and leadership skills.
Have good communications, analytical and problem-solving skills.
Good command of both spoken and written English. Proficiency in Mandarin is an advantage.
Familiar with filings of statutory forms and compliance with Companies Acts.
Computer-literate in MS Office.
Able to work independently and is a good team player.
Good interpersonal skills and ability to work well with team members.
Able to work under pressure and meet work/management timelines.
Able to identify and demonstrate clear comprehension of clients' and organizational needs.
Have good time and work/project management skills.
Confident in facing and/or resolving issues/challenges.
Good time management.
At least 6 years of relevant working experience.
Good knowledge of relevant listing rules, corporate governance and best practices.
Experience with ViewPoint 7.4 will be an advantage.
Bachelor's Degree in related disciplines e.g. Corporate Administration, Corporate Governance, Business Management, etc.
Part ICSA qualification / Graduate of ICSA preferred.
