About the role
The Transportation Coordinator will be responsible for the daily execution of freight management from working closely with Global procurement in managing LSPs, contract allocation, up to verifying freight invoices against contracted volume and rate.
The Transportation Coordinator also serves as SPOC on daily freight issues/enquiries from sites, regional and other departments (i.e. commercials, finance, and regional SC team).
Key responsibilities include
Check, validate and ensure freight invoices are captured in VIM (SAP) for all sites against contracted LSP.
Check and balance for each framework created prior to the new contract expiry of each LSP.
Create new LSP framework in VIM (SAP) each time a new contract is onboarded from Global Logistics.
Follow up communication with LSP (contract and spot) on monthly SOA and invoice received.
Communicate with LSP to ensure dispute/rejected invoices are corrected in a timely manner.
Review and organize meetings with LSP on disputed invoices matters.
Create LSP dispute invoices report for performance review.
Participate in the 'LSP Contract Awarding' session for both Intra Asia and long-haul (estimated 2 times a year).
Submit SAP master data request for new LSP onboard.
Support and ensure booking requirements are met by BC's appointed LSP & 4PL onboarding.
Tackle and mitigate any shipment interruptions prior to booking request, i.e., equipment shortages, shipping schedule availability, LSP non-performance, LSP dispute the contract agreement.
Close coordination with the Global Logistics sourcing team on contractual freight information, i.e., freight rates, equipment shortages, and information visibility.
Compile freight data for monthly Freight Management accrual report.
Monthly report LSP invoices validation (PO & non-PO) against framework created.
Compile data for the new FY APAC freight budget review (annually).
Monthly accrual report for Freight Management.
Source and coordinate 'spot rate' requests as and when required.
Source, provide freight details, and coordinate LCL shipment requirements.
Source, provide freight details, and support for airfreight shipment requests as and when required.
Engage and coordinate 'cake shipments' (inbound) requests via 3rd party suppliers to Batam.
SPOC to support and feedback on freight enquiries (from commercial, CS, and SCM) as and when required.
Participate in the monthly "Freight Management" and weekly "BC US/NAFTA" meeting calls.
Regularly interpret information related to each request/email: gather additional information as needed.
Support continuous improvement projects related to Freight/Transport activities as needed.
About you
Bachelor/Diploma degree in SC/Logistics, business administration.
Demonstrated understanding of Logistics processes & market, trends, and its financial levers.
Proficient in English (oral & written) and (preferably) one local/Asian language.
More than 5 years' experience in Transportation/Freight and Distribution and/or related field.
Minimum 5+ years of relevant experience in a matrix organization, ideally within high volume Manufacturing, Distribution, or B2B organization.
Deep knowledge of the SC/Logistics, Transport & Warehousing processes.
Experience in logistics operations function.
Knowledge of customs & international export/import policies.
Recommending effective solutions to enhance Logistics performance.
Adopting a right first-time mentality.
Proficient in MS Office Suite and Google (Gmail, Drive, Calendar) tools.
Proven ability to multitask & prioritize in an extremely high volume/fast-paced environment.
Proven ability to process variable inputs to clarify/follow up on incomplete & ambiguous information.
Proven ability to take initiative, overcome obstacles, solve problems and deliver consistent results.
Ability to be a self-starter and work autonomously, as well as be part of a successful Team.
Excellent communicator; good verbal and written communication skills.
