We are seeking to fill the position of Procurement Associate G6 (Hub) , based in the UNHRD Malaysia. Applicants must reside within commuting distance to the office location in the duty station and must be Malaysian Residents holding a valid passport and/or identity card, or a valid Resident. Permit to work and live in the country.

ORGANIZATIONAL CONTEXT Global hunger has reached alarming levels in 2022, and WFP, the Nobel Peace Prize winner in 2020, remains dedicated and committed to address this global food crisis. The United Nations Humanitarian Response Depot (UNHRD) is a network of strategically located hubs established to support humanitarian organizations and the broader international community in responding to emergencies and crises. UNHRD provides essential services such as storage, easy access to critical supplies, and technical assistance. As a team member of the UNHRD hub based in Subang the Procurement Associate for the UNHRD Hub plays a crucial role in coordinating and administering local and regional procurement activities. Reporting to the Head of Operations, this position requires close collaboration with the customer service, logistics, and warehouse management teams within the hub.
KEY ACCOUNTABILITIES (not all-inclusive, nor exhaustive) Provide operational coordination and administrative services to support procurement projects and activities, adhering to standard processes and ensuring the effective procurement of goods and services. Identify and recommend potential suppliers, compiling data and documents to support the selection process, ensuring adherence to standard procurement procedures. Review, record, and prioritize purchasing requests, offering support to requisitioners to procure appropriate goods and services at the best value for money to UNHRD. Contribute to negotiations with new suppliers on terms and conditions of orders, alongside a senior officer, to secure the best terms and best value for money for UNHRD. Prepare Purchase Orders, contracts, and any supporting documentation for approval by the relevant stakeholder and approve purchases within delegated authority to facilitate swift procurement. Resolve potential issues related to delivered goods by liaising with all parties and following standard procedures to ensure timely and accurate resolution of problems. Research, collect, and analyze data to produce reports that enable informed decision-making by Procurement Officers, ensuring consistency of information presented to stakeholders. Manage updates and further develop databases and records to ensure information is accurate, organized, and accessible, supporting reporting requirements. Maintain relationships with internal counterparts to align procurement activities with wider programs, ensuring a coherent approach to meeting food assistance needs. Follow standard emergency preparedness practices to support WFP in quickly responding and deploying relief items and needed resources to affected areas at the onset of crises. SPECIFIC POST REQUIREMENTS (As required by the Hiring Manager) Strong analytical and reporting skills and attention to detail to ensure accuracy work deliver for informed decision making. Excellent communication and negotiation skills. Ability to work collaboratively with various teams and stakeholders Desirables: Have certificate in Public Procurement, level 2- CIPS Accredited  Experience working in a United Nations common system, international or non-governmental organization. STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE Education: Completion of secondary school education. Additional training in procurement, supply chain management, or related field is desirable
Language: Fluent in English and Bahasa Malaysia, both oral and written
Experience:  Minimum of 6 years of experience in procurement, supply chain management, or related areas
