Maxvalue Management and Services Sdn Bhd is seeking an Administrative Assistant in the Administration & Office Support category.
Responsibilities:Administrative Support:
- Answer and direct incoming calls, emails, and inquiries in a professional and courteous manner.
- Schedule and coordinate appointments, meetings, and events for managers and team members.
- Prepare and distribute documents, memos, reports, and presentations as required.
- Organize and maintain physical and digital files, ensuring data integrity and confidentiality.
- Handle general clerical tasks, such as photocopying, filing, and scanning documents.
Office Management:
- Manage office supplies and ensure stock levels are maintained by placing orders when necessary.
Communication & Collaboration:
- Act as a liaison between departments, fostering effective communication and teamwork.
- Collaborate with colleagues to support various projects and initiatives as required.
- Assist with the coordination of office equipment maintenance and repairs.
Data Entry and Record Keeping:
- Input data accurately into relevant systems or databases.
- Update and maintain records, ensuring information is up-to-date and easily accessible.
- Compile data and generate reports for management review.
Travel and Logistics:
- Assist in coordinating travel arrangements, including flights, accommodation, and transportation.
- Prepare travel itineraries and ensure all necessary arrangements are in place.
Event Coordination:
- Provide support in planning and organizing company events and meetings.
Ad-hoc Tasks:
- Assist with any ad-hoc tasks assigned by the supervisor.
Job Related Experience & Knowledge:Proven work experience as an Administrative Assistant or in a similar role.
Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong problem-solving abilities and a proactive approach to work.
Education:High school diploma or equivalent; additional education or certifications in office administration is a plus.
Highly independent and organized.
Attention to detail and good analytical skills.
