Proactively responsible to provide support to all employees and office visitors by handling a variety of tasks in order to ensure that all interactions between the company and others are positive and productive.
ResponsibilitiesInvoicing
- Manage and ensure the record accuracy of new/existing customer database.
- Ensure the accuracy of pricing information to improve financial reports and empower the company to develop future planning.
- Ensure the accuracy of invoicing and related sales documents and data entry.
- Minimize the occurrence of bad debt customers by proactively informing them about outstanding amounts and encouraging timely payment.
Office Supplies
- Assist in implementing safe and quality handling practices for food products by facilitating the provision of sufficient Personal Protective Equipment (PPE) for food handlers.
- Assist personnel in the proper distribution of chemicals for tools, equipment, facilities, and workplace cleaning purposes.
- Mitigate the risk of chemical misuse by ensuring that chemicals are stored in designated areas and used correctly.
- Facilitate smooth task execution for all personnel by ensuring they have an adequate supply of stationery.
Administrative Duties
- Handle basic office tasks, such as filing, phone calls, and data entry.
- Assist in organizing and scheduling appointments, meetings, and events.
- Implement visitor screening and directing processes to efficiently guide visitors to the appropriate person in charge.
- Collaborate with the Maintenance Team/Cleaner to ensure the company's facilities and building are well-maintained.
- Liaise with IT vendors to ensure the company's computers are functioning well.
- Monitor and ensure that business licensing, permits, and vehicle road tax are up to date.
- Contribute to the development of potential customers by collaborating with team members to prepare requested sample products and ensuring meticulous documentation of the process.
- Efficiently manage the sending or receiving of parcels or documents, directing them to the appropriate recipient.
- Coordinate with the storekeeper and engage with recycling vendors to maintain a consistently spacious recycling area.
Human Resources Duties
- Assist in developing company policies, procedures, and business ethics codes, ensuring they are communicated and implemented.
- Administer and liaise with relevant government departments, such as KWSP, PERKESO, and HRDF, on statutory matters.
- Manage the recruitment process, including job postings, screening resumes, arranging interviews, and onboarding new employees.
- Assist in maintaining personal records like employment contracts, permits, attendance, and leave.
- Handle the foreign worker's permit renewal process.
- Maintain and update employees' leave records (Annual Leave, Unpaid Leave, Sick Leave, Absenteeism) and ensure the accuracy of payroll calculations for timely release.
- Organize in-house training programs and keep all training records up to date.
- Assist in managing and administering employee benefits programs.
- Provide support to other staff, fostering a culture of continuous improvement and collaboration in the working environment.
- Prepare and submit HR-related reports to management, including headcount, turnover, and training metrics.
Cross Functional Team
- Execute assigned duties and responsibilities in collaboration with cross-functional teams.
Others Record Keeping
- Enhance operational efficiency by ensuring that all documents are in order and regularly updated.
- Assist in establishing a traceability system to ensure all required documents are organized and in compliance.
