The University of Nottingham in Malaysia Sdn Bhd is seeking suitably qualified candidates to apply for theAdministrative Officerposition in the Campus Services Department.
Job Responsibilities:
To comply with Standard Operating Procedures (SOP) for mailroom, dispatching, and reception services operations.
To monitor, coordinate and review the mailroom, dispatching and reception operations.
To liaise and coordinate with relevant departments and students for any mailroom, dispatching and reception services requests and complaints.
To assist in liaising with relevant stakeholders for feedback on student preferences regarding mailroom, dispatching, and reception systems.
To ensure the incoming mail/parcel from couriers is secured in the mailroom and handed over to the right recipient/department.
To administer and monitor any development required for service improvement.
To staff and supervise the dispatching and receptionist teams.
To plan and coordinate student helper planning and budgeting.
To assist in providing any related operational reports and present them to the reporting line manager and Head of Department.
To participate in budget planning for service improvement and cost management.
To execute and attend any ad-hoc tasks or other duties assigned by immediate superior and Head of Department.
To operationalize day-to-day mailroom, dispatching and reception tasks, including problem troubleshooting and decision making when necessary.
To assist in investigations involving any incidents in mailroom, dispatching and reception, including the preparation of informative reports and recommendations.
To assist and communicate with other stakeholders or relevant departments for investigation procedures.
To monitor the availability and functionality of mailroom, dispatching and reception equipment, including software and hardware, and provide rectifying documentation and recommendations.
To ensure operational compliance with official working hours for front office services (mailroom and reception).
To assist in implementing initiatives to reduce waste, optimize packaging, and promote eco-friendly practices within the mailroom, dispatching and reception.
Job Requirements:
Possesses a minimum Bachelor Degree in Business Studies/Administration/Management or any related field.
Computer literate with strong knowledge in MS Office applications such as Excel, Word, and Outlook.
Good typing and analytical skills.
Strong customer service skills.
At least 2-3 years of working experience in the related field.
Pleasant personality with good communication skills.
A team player who is proactive in work.
Strong interpersonal and problem-solving skills.
Able to work independently with minimal supervision.
Hardworking, adaptable, and willing to learn.
Able to multitask and work within tight deadlines.
Willing to work irregular hours, on weekends, and Public Holidays if required.
Those with qualifications and experience in leading campus/university Mail Services will have an advantage.
Additional languages beyond English and Bahasa Malaysia are an advantage.
Knowledge and experience with campus/university Mail Services procedures and operating mailrooms.
