About the role
The Assistant Manager, Logistics & Customer Service oversees and manages all related logistics and customer service deliverables within the supply chain ecosystem for Novugen Pharma Sdn Bhd and Novugen Oncology Sdn Bhd.
The incumbent will collaborate with cross-functional teams to support Novugen's mission of delivering safe and effective medications to patients.
Key Responsibilities
Manage and process customer POs daily by COB for next-day fulfillment, generating Sales and Delivery Orders while recording all activities in the logistics log.
Collaborate with the Planner to confirm stock availability, maintain accurate inventory records, conduct audits, and maintain supplier relations to resolve stock discrepancies.
Provide picking lists to warehouse staff, confirm packing completion, and generate DOs within specified timelines, documenting all stages in the logistics log.
Coordinate with internal teams for timely shipments, including booking transport, and monitor the entire order cycle to address any issues promptly.
Print DOs after warehouse confirmation, provide necessary documents to transporters, and ensure timely deliveries within agreed timelines.
Real-time notification to SCL personnel via mobile message upon completion of delivery and signing off by Distribution Center personnel.
Submit complete delivery documents, including DO, POD, and PO, to Finance for processing.
Resolve transportation issues and manage contracts with logistics service providers and suppliers to ensure smooth operations.
Act as the primary contact for customer inquiries and issues, ensuring timely resolution and enhancing satisfaction through effective communication.
Request and review clearance documents, prepare RFQs for shipping and related services, and secure approvals for expenses.
Collaborate with the GR team and users on delivery dates and support, maintaining accurate records of shipments, inventory, and interactions.
Assist in developing SOPs, preparing reports, and conducting analyses for logistics and customer service operations.
Supervise, mentor, and support logistics and customer service staff to enhance performance.
About you
Bachelor's Degree or Diploma in Supply Chain Management, Logistics, Business Administration or equivalent.
Minimum 5 years' related experience logistics operations and customer service management with 2 - 3 years of leadership or supervisory experience
Proficient understanding and demonstrated ability in logistics processes, including inventory management, transportation, and warehousing
Knowledge of import/export regulations and customs procedures is an asset
Proficient in using systems / software / tools relevant to supply chain management, pharmaceutical or healthcare industry is an added advantage
Strong intrapreneurial skills and mindset from start up to established organization
Versatile and resilient, ability to stay positive in high-pressure and ambiguous environments and work towards delivering results
Attention to detail / meticulous
