Duties and Responsibilities
Planning for New Financial Year/ New Academic Year/ New SemesterTo prepare the department's yearly budget on the assigned learning centres for the next financial year;
To send the International Student Application Form, respective updated brochures and the latest programme handbooks to the assigned learning centres;
To advise the assigned learning centres on the new student entry requirements of the franchised programmes;
To advise the assigned learning centres on the subject offering list for the next semester based on the study plan and latest results;
To propose the subject convenor and moderator for the subjects to be offered at the assigned learning centres in the next semester;
To prepare the Part Time Lecturer Request Forms and Appointment Letters for the subject convenors;
To collect and compile the teaching and study materials from respective subject convenors and send it to respective learning centres prior to the commencement of new semester;
To order and courier the new text books to the respective learning centres if there is any new text book or new edition of the existing text book has been adopted;
To inform the learning centres on the subject convenors' list with their email addresses for correspondence between subject convenor and the lecturer on their subject matters;
To request for the curriculum vitae, academic certificates and transcripts of the newly appointed lecturer of learning centres;
Processing New Student ApplicationsTo process the new student applications and input their data into Education Management System (EMS);
To print their Student ID card at the Registry and courier the cards to the respective learning centres;
Execution in the Beginning of the New SemesterTo set up the subjects offering with the required assessments details for the new semester;
To provide the subject enrollment list to the LMS team for the students' access;
To provide the subject lecturers and the administrators list to the LMS team for the access;
To provide the active students list to the HELP Desk to activate or re-activate the access to the e-library;
To request for the subject enrollment list in the Week 3 of each semester;
To register the students for their subjects based on the subject enrollment list;
To prepare a memo to Bursary for requesting the invoice of billing the assigned learning centres;
Execution during the SemesterTo monitor and keep a record on the billings and the expenses on the assigned learning centres;
To format and send the assignment questions, test question papers and mid semester examination question papers to the respective learning centres;
To arrange the main classes, revision classes or complimentary classes with the respective subject convenors and the assigned learning centres;
To request for the submission list of the assignments and projects, attendance record of quiz, test, mid semester examination and final examination;
To send the mark sheet and marking guide/ marking scheme of assignments, projects, quiz, test and mid semester examination to the respective learning centres;
To follow up with Exam Centre on sending the marking guide/ marking scheme of final examination;
Execution during the End of SemesterTo distribute the marked assignments, projects, quizzes, tests, mid semester examination answer sheets and final examination answer sheets to the respective subject convenor for moderation;
To input all the assessments marks given by the lecturers of learning centres into the EMS;
To prepare the minutes for the Exam Board Meeting on the assigned learning centres;
To request for the individual transcript after the confirmed results have been released by the Exam Centre;
To check on the potential graduates results;
To confirm the graduates attendance list for the convocation with the assigned learning centres;
General TasksTo file all student application forms, academic calendars, study plan, subject offering list, subject enrollment list, copy of invoice, copy of payment slip from the learning centres; Part Time Lecturer Request Form, appointment letter, claim forms, submission list of assignment and projects, attendance list of quizzes, tests and examinations, provisional and confirmed results, student transcripts and the required documents;
To advise the assigned learning centres on the questions and issues raised by them;
To request for the academic calendars for the next semester or next academic year;
To support the annual convocation and airport pick up for the guests from the learning centres;
To plan for seminars, workshops, campus visit, and other activities for the visiting students from the assigned learning centres;
To guide and support the assigned learning centres on the Malaysian Qualification Agency's accreditation audit;
Student Mobility ProgrammeTake care of student welfare for the participating students during the student mobility programme;
Airport pick up and send off;
To prepare the itinerary/ timetable/ activities for the student mobility programme;
To source and book the accommodation;
To source and book the bus transportation;
To book and reserve the teaching and student activity venues;
To order the catering food for the welcome and farewell parties and student activities;
To bring the participating students for visiting tour, company visit and other external activities;
To prepare the appointment letter for the lecturers who are assigned to teach or conduct the workshops;
To prepare the statement of results and certificate of completion for the participating students;
To prepare/ order the teaching materials for the participating students;
To prepare the memo for Bursary to issue the invoice to the institution(s);
To process and submit the invoices from accommodation provider, catering provider, transportation provider, materials provider and etc.;
To liaise with HELP students in organising cultural exchange activities for the participating students;
Job Requirements
At least a Diploma or Bachelor's degree in relevant field
At least 2 years of working experience in the education sector.
Good command of spoken and written English.
Excellent communication and interpersonal skills.
Ability to work collaboratively with diverse populations and stakeholders.#J-18808-Ljbffr
