Job Description - Divisional Head Executive Assistant (240001SG)
We are seeking a highly organized and proactive Divisional Head Executive Assistant with a strong accounting background and a data-driven mindset. This role is essential in providing comprehensive support to the Divisional Head, ensuring efficient operations and effective decision-making through meticulous data analysis and financial oversight. The ideal candidate will possess exceptional communication skills, a keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Provide high-level administrative support to the Divisional Head, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Prepare and organize materials for meetings, including agendas, presentations, and reports.
Serve as a liaison between the Divisional Head and internal/external stakeholders.
Assist in the preparation and analysis of financial reports, budgets, and forecasts.
Gather, analyze, and interpret data to support strategic decision-making and operational improvements.
Develop and maintain dashboards and reports to track key performance indicators (KPIs) and departmental metrics.
Identify trends and provide actionable insights based on data analysis.
Support the Divisional Head in managing special projects and initiatives, ensuring timely completion and alignment with organizational goals.
Coordinate cross-functional teams and facilitate communication to ensure project milestones are met.
Prepare correspondence, reports, and presentations as needed.
Handle confidential information with discretion and professionalism.
Identify opportunities for process improvements and implement best practices to enhance operational efficiency.
Working Conditions:
Must be responsive and adaptable to the dynamic needs of the Divisional Head and the division.

Qualifications:
Bachelor's degree in accounting, Finance, Business Administration, or a related field.
Proven experience as an executive assistant or in a similar role, preferably within a corporate environment.
Strong accounting knowledge and experience with financial reporting and analysis.
Proficiency in data analysis tools (e.g., Excel, Power BI, Tableau) and accounting software (e.g., QuickBooks, SAP).
Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
Strong analytical and problem-solving skills with a keen attention to detail.
Exceptional verbal and written communication skills.
Ability to work independently and collaboratively in a team-oriented environment.
