Job Description:
a.
General Job Description:To handle day-to-day operations such as ensuring all the Account Payable documentations are recorded properly in the SAP system.
To prepare processing cost analysis for management reporting.
To ensure all the provisions and accruals are sufficient.
To ensure accurate and timely periodic submission of monthly financial reports, quarterly schedules, and GFA to Head Office.
To prepare and analyze the General Ledger amount, bank, intercompany, and vendor reconciliation and liaise with the relevant party for clearing purposes.
To facilitate preparation of analysis for financial performances of the companies.
To ensure compliance with local accounting standards, statutory filing requirements, and reporting.
To monitor compliance with Group Policies and Procedures.
To provide information and financial data in response to ad-hoc queries and requests from Head Office.
To implement safety working procedures among the finance personnel in the department.
To abide by any laws/obligations/rules and regulations documented by the management and company.
To ensure the continuing protection of the Company's assets, both tangible (such as products, processes, and services) and non-tangible (such as trademarks, intellectual property, etc).
To perform duties as directed by the Superior, from time to time.
b.
Operation of Finance Department:Overall supervision and smooth running of the Finance Department from day to day.
Preparation and review of monthly management reports and submission to head office latest by 8th of the month.
Work closely with Tax Consultants in relation to company taxation.
To liaise with Company's External Auditors for the finalization of annual accounts, interim audits, and annual stocktaking.
Participate in stock reconciliation tasks and ensure the stocks are reconciled.
Participate/lead in any PSQM initiatives for the department.
To liaise with Government and statutory bodies on matters relating to Company's accounts.
Attending day-to-day administration of the Finance Department.
To assist and support the Head of Sime Darby Oils Biodiesel on financials for the Board meetings and AGMs.
Preparation of finance projections as required.
Preparation of the annual budget.
Actively participate in other quality management system initiatives in the company.
Any duties assigned by Head of Sime Darby Oils Biodiesel from time to time.
Participate/lead in any TQEM initiatives for the Finance Department.
Review monthly submission of Government statistics.
Review submission of quarterly updates of costing report.
Prepare and review tax for tax audits on a yearly basis.
Preparation and review of monthly financial reporting.
c. Account Receivable:To check bank statements daily for deposits made directly by customers.
To verify with the sales department on deposits from customers.
To match the deposits received with the customer invoices and do clearing.
Check Account Receivables aging for refunds and overdue.
Check Account Receivables aging for provision of doubtful debts.
To issue DC/CN to customers.
d. Inventories:Do comparison of stock balance between Logistics vs SAP.
Check inventory aging for any provisions required.
Check inventory value for NRV.
Prepare stock report for HQ (for Finance Downstream).
Handle stock count to ensure physical tie with SAP.
e. Month End Report:Get provision for transportation from Sales Department at month end.
Raise journals for accrual and provision.
Analyze and review GLs before closing all SAP modules.
Review and submit BPC.
Prepare and review MOR for submission to Head Office.
f. Quarterly:Review tax computation.
Conduct physical stock account.
Handle/answer PWC queries for quarterly audit.
g. Yearly/Year End:Check GRIR to ensure no outstanding for more than 60 days.
Follow up with purchasing to check the open PO.
Call up external vendors for statement of account.
Ensure all the invoices are being taken up.
Call up interco for DNs.
Review and update schedules for BPC.
Review GFA pack.
Review tax computation and answer tax queries from group tax (have to liaise with group tax).
Review Statutory Account (have to liaise with group secretarial).
Handle external auditor.
Prepare all schedules as requested by auditor.
Prepare MPLAN for next financial year.
