Graduate Trainee - Corporate SecretarialAbout the Role
The Secretarial Trainee will assist in providing corporate secretarial support to the organization and its subsidiaries.
This role offers an excellent opportunity to gain hands-on experience in corporate governance, compliance, and administrative tasks while working towards professional qualifications (e.g., MAICSA, ICSA).
Key Responsibilities:
Corporate Secretarial Support
Assist in the preparation and filing of statutory documents with the Companies Commission of Malaysia (SSM).
Draft board and shareholders' meeting minutes, resolutions, and notices.
Maintain statutory registers and company records in compliance with the Companies Act 2016.
Compliance
Ensure timely filing of annual returns, financial statements, and other statutory documents.
Monitor deadlines for regulatory submissions and company obligations.
Assist in preparing documentation for audits and due diligence exercises.
Administrative Duties
Organize and maintain corporate documents and filing systems.
Support in scheduling meetings and coordinating with internal and external stakeholders.
Prepare and distribute reports, agendas, and correspondence as required.
Professional Development
Attend training sessions and workshops to enhance technical and professional knowledge.
Stay updated on changes to corporate governance and regulatory requirements in Malaysia.
Ad Hoc Tasks
Support the team in special projects and assignments as required.
Collaborate with other departments to facilitate smooth workflow.
Key Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Strong verbal and written communication skills in English and Bahasa Malaysia.
Good organizational and multitasking abilities.
High attention to detail and accuracy.
Candidates pursuing MAICSA or equivalent professional qualifications are preferred.
Education:
Bachelor's degree in Corporate Administration, Business Administration, Law or related fields.
Fresh Graduates with a minimum of less than 2 years of working experience at an in-house or external secretarial firms.
Personal Attributes:
Proactive and eager to learn.
Strong sense of responsibility and integrity.
Ability to work independently and as part of a team.
Able to start by January 2025 will be a plus.
