Key Responsibilities:
1. Onboarding:
Prepare onboarding materials and assist with new hire orientation.
Maintain accurate records of new hires and documentation in staff portal.
2. Contract Renewals:
Track employee contract expiration dates and notify relevant stakeholders.
Prepare and process employment contract renewals in a timely manner.
3. Procurement and Invoice Processing:
Assist with procurement requests related to HR needs, including vendor selection and documentation.
Process and track invoices for HR-related services and maintain records for payment approval.
4. HRDF Application:
Prepare and submit HRDF (Human Resource Development Fund) claims and applications.
Track HRDF utilization and ensure compliance with relevant guidelines.
5. Employee Records and Documentation:
Update and maintain employee files, ensuring data accuracy and confidentiality.
Assist in maintaining HR systems and databases.
Prepare employment letters, contracts, and other HR-related documents.
6. Administrative Support:
Respond to general HR inquiries and provide information to employees as needed.
Assist in scheduling and organizing HR meetings, events, and activities.
Manage office supplies for HR operations.
Support employees with benefits-related queries and documentation.
Qualifications:
Diploma or Bachelor's degree in Human Resources, Business Administration, or a related field.
1-2 years of administrative or HR-related experience preferred.
Skills:
Excellent communication and interpersonal skills.
Strong organizational skills with attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Familiarity with ZOHO or similar systems is an advantage.
Knowledge of HRDF application processes and procurement workflows is a plus.
