Job Title:Administrative Assistant (Administration & Office Support)
Responsibilities:Responsible for the full spectrum of human resource and administration functions which include recruitment, staffing, and performance monitoring.
Assist Management in development and implementation of HR policies and procedures.
Coordinate recruitment activities, including job posting, sourcing candidates, interviewing, and orientation for new employees.
Prepare, administer, and update records of administration work such as preparation of letters, employment contracts, employee confirmations, transfers, promotions, contract renewals, and foreign worker permit renewals.
Handle full set of payroll administration including on-time and accurate payroll processing, salary payouts, and liaising with government bodies (e.g., KWSP, PERKESO, LHDN) on all statutory requirements while maintaining data privacy and confidentiality.
Update and maintain employees' profiles, attendance, leave, medical, and training records.
Provide HR relevant reports as required.
Ensure smooth and efficient day-to-day HR operations.
Prepare HR-related letters and correspondences and liaise with relevant authorities/government departments if necessary.
Manage employee disciplinary matters and take necessary disciplinary action.
Responsible for employee claims and insurance handling.
Plan and organize annual dinners, team building, and other staff events.
Responsible for staff welfare and accommodation provided.
Keep records and maintain a proper filing system while ensuring the security of confidential information.
Act as office receptionist, handling incoming calls, emails, etc.
Handle all general office administration and maintenance related to office facilities, office supplies, and asset management.
Arrange meeting schedules, prepare meeting minutes, and follow up on items with relevant parties.
Perform ad-hoc tasks assigned by Management from time to time.
