Job Responsibilities:
To make sure all manpower requirements are attached with the manpower request form.
To post/advertise all job vacancies based on approved manpower requests.
To select candidates for the 1st interview.
To interview operator level/clerk candidates.
To involve in negotiation for report duty staff.
To decide salary for operator level for approval in salary proposal.
To conduct orientation for new intake.
To ensure all documents related are sent to payroll for registration.
To ensure new staff receive uniforms.
Transfer/Promote/Redesign:
To ensure request forms are filled in and forwarded to HOD for approval.
To prepare salary proposals and employee status forms.
To prepare letters based on approved proposals.
Training:
To establish internal and external training plans based on the Training Needs Analysis form.
To continuously follow up with trainers to conduct the training.
To ensure trainers fill up training forms to extend/delay training if not conducted within the month.
To issue training request forms for any external training requested.
To apply for claims on HRDF for external training.
To claim the cost of training after it is paid and completed.
To assist in searching for suitable training based on requirements.
To help monitor training evaluations conducted by trainers after 1 month of training.
To ensure in-house training is conducted in good condition.
To liaise with external training providers for any documents/information.
To prepare agreements for specific training required by management and ensure agreements are passed to trainees before training is conducted.
Issuance of Letters & Memos/Reports:
To assist in issuing numerous letters and memos and ensure all are distributed.
To issue disciplinary letters.
To issue domestic inquiry memos and action letters.
To issue counselling letters.
To conduct and issue counselling letters.
To draft official letters regarding any HR issues for approval.
To assist in preparing weekly reports to submit to HOD for the weekly meeting.
To update organization and manpower status weekly.
Staff Confirmation:
To issue lists of confirmation staff based on hire dates.
To issue performance appraisals to HOD before meetings.
To prepare personal files for interviews (if any).
To prepare staff for confirmation interviews if necessary.
Monitoring:
To monitor staff attendance in all departments and inform Admin and HOD of any updates.
To update the headcount board weekly and monthly.
To update bulletin boards and information boards on current news/information.
To post new memos and HR activities at bulletin boards for all staff information.
Foreign Worker Management:
To assist in preparing documents for foreign workers' renewal permits, FOMEMA, new applications, interviews, etc.
To liaise with foreign worker agents on related matters.
To conduct hostel inspections (FW & local).
To ensure hostels are in good condition and equipped with proper accommodation items and facilities (FW & local).
To ensure all passports are kept in a safe place.
To monitor staff health and medical concerns (critical cases).
To liaise with Admin on flight ticket arrangements for foreign workers returning home before/after contract end.
To issue memos to HOP/HOD listing foreign workers to send back, cut-off dates, and salary.
To update Admin on the latest list of foreign workers.
To liaise with government agencies/corporate for any arising issues such as reporting cases of missing persons/runaways to police and embassies.
To take staff to the bank for any card issues/pin number/other issues.
To highlight any arising issues to management.
To take staff for FOMEMA check-ups at appointed clinics within specific timeframes for renewals.
To report to local authorities for new intakes of foreign workers (Jabatan Tenaga Kerja).
To perform adhoc tasks as required.
Summary of Role Requirements:
Flexible hours available.
1 year of relevant work experience required for this role.
Working rights required for this role.
Expected start date for role: 01 February 2025.
