A. Procurement
1.Check and process Purchase Requisitions. Purchase materials/equipment as per Purchase Requisitions and/or Tender/Project Budget based on tender/project drawings, specifications, and bill of quantities.
2.Sourcing of competitive materials/equipment and suppliers, request for quotation, and liaison with suppliers.
3.Negotiate for best prices, payment terms, and purchase order/delivery conditions.
4.Liaison with tender and project team on:
Evaluation and comparison of suppliers' quotations.
Preparation of Price Comparison Table and approval/sign-off by Senior Management.
Preparation of Supplier Recommendation & Cost Analysis Report to the Purchase Committee for approval on purchases exceeding RM500,000.
5.Plan and monitor schedule of PO issuance to ensure orders are issued within the stipulated time, and update all purchase orders into the Procurement Plan.
6.Check and track orders/deliveries against Tender/Project Material BQ to avoid excessive/over-ordering of materials.
7.Prepare Purchase Orders and ensure accuracy and completeness of Purchase Orders including Additional Order Conditions, where applicable.
8.Issue Purchase Orders to suppliers and ensure acceptance of Purchase Orders by suppliers.
9.Revise and cancel Purchase Orders with proper notification/letters to suppliers, ensuring immediate housekeeping of amended/cancelled orders in the System.
10.Check and ensure all VO materials and works are processed according to V.O. ordering procedures.
11.Monitor material deliveries, coordinating with project team and suppliers to ensure timely deliveries.
12.Liaise with Project PIC's and receive Daily Return of supplies record with original Delivery Order on a daily/weekly basis.
13.Check and verify Goods Received Note and Delivery Orders against Purchase Orders, liaising with Project PICs and suppliers on over-delivery of materials or any discrepancies.
14.Uphold and maintain the Vendor Registration and Vendor Assessment systems.
15.Monitor the status of equipment/material submission and approval.
16.Assist with any technical queries as required.
17.Perform any other duties/tasks assigned from time to time.Summary of role requirements:Flexible hours available.
