PA, EA & Secretarial (Administration & Office Support)
Handling correspondence directed to Country Manager
Perform general administrative duties, including managing correspondence and scheduling meetings for Country Manager
Providing a variety of administrative and office support to the PA/Office Manager
Filing and retrieving corporate records/documents
Maintain and update company databases and records
Assist and support in company's licensing matters
Maintaining professionalism and strict confidentiality with all materials
Preparing reports by collecting and analyzing information
Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
Using various software/systems, including word processing, spreadsheets, purchase order and expense management, databases, etc.
Making travel and accommodation arrangements and detailed itineraries if necessary
Handling flight/hotel for travel requests (including visa applications)
Other ad-hoc projects/tasks as assigned
Requirements:
Proven experience as an office administrator, office assistant or relevant role
Minimum with Diploma in Corporate Admin, Office Management, Secretarial Admin or any equivalent
Familiarity with office management procedures and basic accounting principles
Excellent knowledge of MS Office and office management software (TimeTec Mgmt. system, MD365)
Proficient in both spoken and written English and Bahasa Malaysia
Outstanding communication and interpersonal abilities
Experience in secretarial studies will be an advantage
Proactively takes responsibility for all delegated work and follows through to completion
Demonstrates the ability and flexibility to prioritize and balance competing demands and meet deadlines in a fast-paced, high volume professional services environment
