Office Admin Specialist

Details of the offer

Overseeing and managing day-to-day administrative operations to ensure smooth functioning of the office. This includes managing office supplies, equipment, facilities, and coordinating maintenance and repairs.
Providing administrative support to various departments or executives within the organization. This involves managing calendars, scheduling appointments, making travel arrangements, preparing documents and presentations, and handling correspondence.
Facilitating effective communication within the organization. This includes managing phone calls, emails, and other forms of correspondence, as well as ensuring timely and accurate distribution of information to relevant parties.
Managing relationships with external vendors, suppliers, and service providers. This includes sourcing and selecting vendors, negotiating contracts and agreements, and ensuring timely delivery of goods or services.
Assisting in budget preparation and monitoring expenses related to administrative operations. This includes tracking costs, analyzing variances, and making recommendations for cost-saving measures.
Working together with HR Operations in compiling expenses, payroll data, and reimbursements to be made either on a weekly or monthly basis.
Working together with HR in designing and rolling out employee engagement-related activities and events in and out of the office.
Job Requirements:
Full-time employment contract: 1-2 years of experience within office administrative, Personal Assistant experience, or Customer Support background.
Fluent in Microsoft product suites (Outlook, Teams, 365, Excel & PowerPoint).
