The Administrative Assistant is responsible for providing the following:
Smooth running of the printing machines in the Reprographic Department.
Relief Administrative support at Reception Centre/Principal/Head of Sections and school in general.
This post reports to and receives directions from the Office Assistant Manager and Principal.
KEY RESULT AREAS/RESPONSIBILITIES
To assist and print all non-examination materials such as letters to parents, flyers, leaflets, and staple accordingly the Examinations Secretary in typing/keying in all data for registration of all candidates for public examinations held in school.
To record all worksheets/teaching materials/documents before/after printing that are sent in for photocopying.
Prepare the final summary of data keyed in and forward the relevant information to the respective head concerned.
To check, monitor and request for the stock of printing materials, papers, and cartridges required in the photocopying and printing process.
To assist in photocopying documents as needed by both Academic and Non-Academic staff as and when.
To provide relief to the Receptionist when on leave: Medical, Annual, Emergency, etc., and assist in handling of incoming and outgoing telephone calls.
To provide relief in the Section Offices to cover Admin Assistants as and when required.
To carry out any other duties/instructions as and when required by the Principal / Office Assistant Manager / Head of Section from time to time.
To assist in the coordination of school activities and functions as required whenever necessary.
To assist other duties assigned to you as and when required by the Assistant Office Manager or the school in general.
To attend to Visitors/Parents when needed.
To assist in recording all incoming mails and distributing them to the relevant departments.
JOB SPECIFICATION
SPM / STPM Holder.
Minimum 2-3 years relevant working experience as an Administrative Assistant.
Computer Skills.
Able to multitask and work under pressure.
Excellent command of spoken and written English.
Able to communicate with all levels of staff.
