**Job Description:**

Kenanga Investment Bank Berhad is seeking a detail-oriented and motivated Office Manager to join our team in George Town, Penang. This part-time role is ideal for an independent professional with a strong background in office administration, possessing the capability to lead initiatives and implement best practices. As an Office Manager, you will play a crucial role in ensuring the smooth daily operation of the office, enhancing productivity, and fostering a positive working environment.

**Key Responsibilities:**

1. **Administrative Support:**
- Manage day-to-day office operations, including organization and coordination of office activities.
- Maintain and update office records, files, and databases accurately.
- Oversee office supplies inventory, placing orders as needed and ensuring cost-effective purchasing.

2. **Team Coordination:**
- Serve as the primary point of contact for team members, addressing inquiries and resolving issues as they arise.
- Organize and coordinate meetings, conferences, and team-building events, ensuring all logistical arrangements are made effectively.
- Assist in onboarding new employees by preparing workspace/supplies and facilitating necessary orientation sessions.

3. **Leadership and Management:**
- Provide leadership and support to administrative staff, fostering a culture of collaboration and accountability.
- Design and implement office policies and procedures to optimize the work environment and improve efficiency.
- Conduct performance reviews and provide feedback to assist with professional development of support staff.

4. **Problem-Solving and Process Improvement:**
- Identify areas for improvement in administrative processes and develop innovative solutions.
- Address and resolve complaints concerning office services or any operational challenges.
- Conduct regular assessments of office operations to ensure best practices are being implemented consistently.

5. **Financial Management:**
- Assist in managing the office budget, tracking expenditures, and reporting on budget adherence.
- Facilitate timely processing of invoices and expense reimbursements according to company policies.

6. **Compliance and Record-Keeping:**
- Ensure office activities maintain compliance with relevant regulations and company policies.
- Maintain confidentiality of sensitive information related to employees and company strategies.

7. **Remote Work Management:**
- Foster a productive remote work environment, providing guidance and support to remote team members.
- Utilize digital tools for communication, collaboration, and project management effectively.

**Requirements:**

- **Education:** Bachelor's degree in Business Administration, Management, or a related field preferable.
- **Experience:** Minimum of 3 years in office management or administrative roles, preferably in the finance or investment sector.
- **Technical Skills:** Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and familiarity with office management software and tools (e.g., project management platforms, CRM systems).
- **Personality Traits:**
- Highly motivated and independent worker with a proactive attitude.
- Able to work effectively under pressure and adapt to evolving priorities.
