JOB OVERVIEW
The Driver to Executive Director is responsible for providing safe and efficient transportation services to the Executive Director, ensuring punctuality, reliability, and professionalism at all times. This role also involves maintaining the vehicle in top condition and providing administrative support to enhance the efficiency of the Executive Director's office.
EXPERIENCE
Qualifications and Requirements:
Experience:At least 3-5 years of driving experience, with prior experience as a personal or executive driver preferred. Experience in office administration is an advantage.
Licence:A valid Malaysian driving licence with a clean driving record.
Skills and Attributes:
Strong knowledge of the road systems in Kuala Lumpur and surrounding areas.
Excellent organisational skills and attention to detail.
Ability to maintain discretion, confidentiality, and professionalism.
Punctual, reliable, and trustworthy with excellent time-management skills.
Good communication skills and the ability to interact with different levels of personnel and external contacts.
Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) for administrative tasks.
Ability to work independently and collaboratively as part of a team.
Physically fit, with the ability to work flexible hours, including evenings and weekends when necessary.
Working Hours:
Flexibility is required, including availability during evenings and weekends based on the Executive Director's schedule.

Familiarity with executive-level protocols and etiquette:Demonstrates a solid understanding of executive-level professionalism, including appropriate behaviour, communication styles, and presentation when interacting with senior management, key stakeholders, and high-profile individuals.
Ability to anticipate needs and proactively address issues before they arise:Proactively identifies and resolves potential challenges, ensuring smooth operations by anticipating the needs of the executive team, such as preparing documents in advance, managing schedules, and addressing logistical concerns.
Understanding of confidentiality and data protection practices:Maintains the highest level of discretion in handling sensitive information, ensuring compliance with data protection standards and safeguarding the privacy of executives and the organisation.
Ability to navigate complex schedules and adapt to last-minute changes effectively:Demonstrates flexibility and adaptability in managing complex diaries, adjusting swiftly to any last-minute changes or disruptions, and effectively coordinating schedules to meet evolving priorities.

RESPONSIBILITIES AND DUTIES
Transportation ServicesProvide safe, courteous, and prompt transportation services for the Executive Director, ensuring a professional and pleasant experience.
Drive the Executive Director to meetings, appointments, and official events in a timely manner.
Plan routes in advance, considering traffic conditions to ensure punctuality.Vehicle Maintenance and SafetyEnsure the vehicle assigned to the Executive Director is kept in clean, safe, and optimal working condition at all times.
Perform routine vehicle inspections, and arrange servicing or repairs as needed.
Maintain vehicle cleanliness (interior and exterior) and ensure that all necessary documents (e.g., insurance, road tax) are valid and up to date.Administrative SupportAssist with deliveries or pick-ups for the Executive Director Office, including documents, parcels, or any other items as required.
Provide basic administrative assistance when required, such as filing, photocopying, and managing errands related to the Executive Director's needs.Executive SupportMaintain confidentiality at all times, respecting the privacy and discretion required for the Executive Director's work.
Provide general support and assistance for events and activities involving the Executive Director, including assisting with visitor arrangements and escorting guests as needed.
Be on-call during working hours and outside of working hours as needed, depending on the schedule of the Executive Director.Collaboration with the Executive Assistant to EDWork closely with the Executive Assistant to the Executive Director to ensure smooth day-to-day operations and assist with ad hoc tasks as needed.
Provide support to the Executive Assistant in managing travel arrangements, logistics, and accommodation for the Executive Director.Other DutiesPerform additional duties as required to support the smooth running of the Executive Director's office and any assigned ad hoc responsibilities.Carry out any other duties as may be directed by the Executive Director of Malaysian AIDS Foundation & Malaysian AIDS Council to further the aims of MAF.
