We are seeking a highly organized and detail-oriented PMO Analyst to join our team under Information Services Division. This role will be supporting the Project Management Office (PMO), by ensuring effective ISD demand planning and delivery governance, tracking on overall ISD Demand & Projects performance, and assisting in the management of key projects and programs. The role requires strong analytical, communication, and organizational skills to streamline project execution, reporting, and stakeholder alignment in a fast-paced telco environment.
The Day-To-Day Activities
Strategic Portfolio Management
• Ensure that all change initiatives in ISD pipeline are aligned to UM and ISD's strategic objective and have clearly defined benefits.
• Responsible for facilitating demand planning process including prioritization and delivery tracking for all change initiatives (projects and change requests) to eliminate redundancies, identify synergies, prioritize execution and streamline resource utilization.
• Responsible for facilitating release management process to provide visibility of all planned changes to the system and ensure smooth transition to operations.Governance and Compliance
• Establish and optimize ISD processes to enhance efficiency and support consistent project governance in alignment with industry standards and best practices.
• Facilitate and ensure compliance with change management, risk management, and quality assurance processes.
• Organize and prepare materials for Project Steering Committees (SC) and governance forums, ensuring all stakeholders are well-informed.
• Support the continuous improvement of PMO processes, tools, and templates to enhance efficiency and project delivery outcomes.Delivery Tracking and Monitoring
• Maintain and track the progress of all the demand delivery across ISD division which includes programs/projects across various stages of delivery.
• Develop and update demand delivery dashboards, providing accurate and timely reporting on project status, risks, issues, and dependencies.
• Monitor delivery timelines and budgets, ensuring adherence to established goals and KPIs.Data Analysis and Reporting
• Analyze project performance data, identifying trends, risks, and opportunities for improvement.
• Generate and deliver regular reports to stakeholders, including senior management, project sponsors, and cross-functional teams.
• Conduct post-implementation reviews (PIR) to capture lessons learned and improve future project delivery.Stakeholder Management and Reporting
• Develop portfolio view of all ISD change initiatives (projects and change requests; completed, ongoing and planned) with clear health status, achievements, and challenges and provide periodic reports to various levels of stakeholders (e.g. Leadership level, Cs, working group, etc.).
• Assist in preparing and organizing stakeholder meetings, workshops, and briefings.
• Leverage technology to automate reports and dashboards that can streamline communication, improve transparency, facilitate swift decision making, proactive risk and issue resolution.
• Communicate project status, risks, and issues to key stakeholders and senior management.Resource Management
• Support the project resource planning process, ensuring resource allocation aligns with project needs.
• Track and report on resource utilization across programs and recommend adjustments to optimize capacity and efficiency.
• Oversee forecasting, planning and development of portfolio's budget and business plans for ISD; develop yearly CAPEX Plans based on project pipeline.
• Track and report on the benefits realized from respective delivery outcomes, ensuring alignment with strategic goals and measurable value generation.OTHERS
• Undertake any other duties/functions that are assigned by the Head of Department.
About You
Required Qualifications:
• Bachelor's degree in Telecommunications, Business, Project Management, or a related field.
• Minimum of 3-5 years experience in a PMO Analyst role, ideally within the telecommunications or IT sector, with a total of 7-8 years of working experience.
• Strong knowledge of project management methodologies (e.g., Waterfall, Agile, PRINCE2, or PMI).
• Proficient in project management tools (e.g., MS Project, JIRA) and data visualization tools (e.g., PowerBI).
• Excellent communication skills, with the ability to present complex data and insights to various stakeholders.
• Strong organizational and multitasking abilities, with attention to detail.
