Production, Planning & Scheduling (Manufacturing, Transport & Logistics)
The Production Clerk is responsible for providing administrative and clerical support to the production department. This role ensures that production records are accurately maintained, production schedules are adhered to, and communication between departments is effective. The Production Clerk will play a crucial role in ensuring the smooth and efficient operation of the production process.
Key Responsibilities:
Documentation and Record-Keeping:
Maintain accurate records of daily production outputs, material usage, and wastage.
Prepare and update production logs, ensuring data accuracy and timely entry.
Organize and file production-related documents such as work orders, maintenance logs, and quality control reports.
Production Scheduling:
Assist in coordinating production schedules to ensure timely completion of production orders.
Communicate with relevant departments to confirm material availability and production timelines.
Monitor production progress and update schedules as necessary.
Inventory Management:
Track inventory levels of raw materials, packaging, and finished products.
Coordinate with the procurement team to reorder materials as needed.
Record and report any inventory discrepancies or shortages to management.
Reporting:
Prepare and distribute daily, weekly, and monthly production reports to management and other stakeholders.
Compile data for performance metrics and assist in analyzing production efficiency.
Communication:
Serve as a liaison between production staff and other departments such as quality control, logistics, and procurement.
Relay information regarding production schedules, changes, and issues to the relevant parties.
Address inquiries from production staff and assist in resolving any administrative issues.
Compliance and Safety:
Ensure that production records comply with company policies, industry standards, and regulatory requirements.
Maintain records of safety incidents and assist in the implementation of corrective actions.
Support the production team in adhering to safety protocols and guidelines.
Administrative Support:
Provide general administrative support to the production department, including answering phones, managing emails, and assisting with timekeeping and any related processes.
Assist with the coordination of production meetings and prepare meeting minutes as needed.
Process Improvement:
Identify opportunities for improving production processes and suggest solutions to enhance efficiency and reduce costs.
Assist in the implementation of process changes and monitor their impact on production performance.
Qualifications:
Education:High school diploma or equivalent; an associate degree in a related field is preferred.
Experience:Minimum of 1-2 years of experience in a clerical or administrative role, preferably within a manufacturing or production environment. However, fresh graduates are encouraged to apply.
Skills:Strong organizational and time-management skills.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with production management software.
Excellent written and verbal communication skills.
Ability to work independently and as part of a team.
Attention to detail and accuracy in data entry and record-keeping.
Familiarity with inventory management and production scheduling.Physical Requirements:
Ability to work in a manufacturing environment, which may include exposure to noise, dust, and varying temperatures.
Ability to sit or stand for extended periods and perform repetitive tasks.
