Remote Executive Assistant

We are seeking a proactive and detail-oriented Remote Executive Assistant to support our executive team and clients.
The ideal candidate will be skilled in multitasking, effective communication, and time management, with a strong ability to work independently.

Key Responsibilities: Manage and coordinate complex personal and team calendars, scheduling meetings across multiple time zones.
Schedule and organize virtual and in-person meetings, preparing agendas and ensuring seamless communication.
Conduct research, gather data, and compile reports to support executive decision-making.
Receive and handle incoming calls, take detailed notes, and route them as needed.
Manage email inboxes, responding to emails, following up on key messages, and forwarding urgent communications.
Order office supplies, equipment, or other necessary items for the team and maintain inventory.
Input, update, and maintain CRM records and customer information, ensuring data accuracy.
Create and send invoices, track expenses, and manage payment records.
Perform basic accounting tasks, including tracking expenses and managing bookkeeping activities.
Coordinate travel arrangements, including booking flights, accommodations, and transportation.
Assist with ongoing projects by tracking progress, maintaining timelines, and ensuring deliverables are met.
Handle confidential information with discretion and professionalism.
Requirements:  Proven experience as an Executive Assistant or in a similar administrative role.
Excellent communication skills, both written and verbal.
Strong organizational skills with the ability to multitask and prioritize effectively.
Tech-savvy, with proficiency in MS Office, Google Suite, CRM software, and project management tools (e.g., Asana, Trello).
Ability to work independently in a remote setting while being self-motivated and results-oriented.
High attention to detail and problem-solving skills.
Discretion and confidentiality in handling sensitive information.
Flexibility to adjust to shifting priorities and schedules.
Prior experience in supporting C-level executives is a plus.
