**Job Description:**

Hartalega Holdings Berhad, a leading name in the manufacturing sector, is seeking a dedicated and proactive Remote Office Manager to join our team in George Town, Penang. **Key Responsibilities:**

1. **Administrative Oversight:**
- Manage and optimize daily administrative operations of the remote office.
- Develop and implement office policies and procedures to streamline operations.
- Maintain filing systems, both digital and physical, ensuring proper documentation and retrieval.

2. **Communication and Coordination:**
- Serve as the primary point of contact between remote teams and upper management.
- Coordinate meetings, conference calls, and team events, ensuring all necessary materials are prepared and distributed in advance.
- Assist with internal communications, promoting transparency and timely exchange of information.

3. **Resource Management:**
- Monitor and manage office supplies, ensuring adequate inventory and placing orders as needed.
- Oversee the allocation of resources and assist team members with any required supplies or services.
- Manage travel arrangements and itineraries for team members, including booking accommodations and transportation.

4. **Financial and Budget Management:**
- Assist in budgeting processes by tracking office expenses and suggesting cost-effective practices.
- Prepare and review expense reports to ensure compliance with company policies.
- Collaborate with accounting to reconcile ledgers and manage petty cash as needed.

5. **Team Support and Leadership:**
- Provide administrative support to various departments as required, facilitating interdepartmental collaboration.
- Assist in onboarding new employees by coordinating training schedules and preparing necessary orientation materials.
- Lead initiatives to cultivate a positive workplace culture, encourage teamwork, and foster professional development.

6. **Project Management:**
- Oversee specific projects as assigned by management, ensuring timely completion and adherence to company standards.
- Utilize project management tools to track progress, set deadlines, and communicate status updates.

7. **Compliance and Record Keeping:**
- Ensure adherence to company regulations and legal requirements related to office operations.
- Maintain confidentiality of sensitive information and document all processes for easy accessibility.

**Requirements:**

- **Education:** Bachelor's degree in Business Administration, Management, or a related field.
- **Experience:** A minimum of 2 years of relevant experience in office management or administrative roles.
- **Technical Skills:** Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with virtual communication tools (e.g., Zoom, Slack).
- **Personality Traits:**
- Independent: Ability to work autonomously and manage tasks with minimal supervision.
- Confident: Exhibit confidence in decision-making and problem-solving within a remote setting.
