This position is essential to the "quote-to-cash" sales cycle and business processes.
The successful candidate must be proactive and a strong communicator, working across functional areas (manufacturing, purchasing, planning, logistics) to ensure order execution and customer deliverables.
Duties and Responsibilities:
Retrieve customer purchase orders from email, mail groups, and customer's online website/portal.
Validate orders against quotation, MRP system, and terms & conditions.
Request revised POs when required from customers and follow up with customers if inquiry goes unanswered.
Responsible for timely and accurate processing of sales orders from end customers, regional offices, and distributors including, but not limited to, order entry, expediting/tool down, price confirmation, and order confirmation/acknowledgement.
Apply proper product, market, or regional codes.
Manage the order cycle by coordinating with various departments on order status, shipping dates, prices, product availability, back orders, and quotes.
Work with designated specialists regarding trade and export compliance.
Submit and follow up on pricing requests (i.e., MRP items with no sell price).
May be called upon to issue RMAs (Return Material Authorization) and credits for both domestic and international customers.
Follow up with internal stakeholders and customers regarding RMA transactions.
Prepare & submit invoices to secure payment.
Provide the highest level of customer service pertaining to customer inquiries regarding order status, invoicing, shipping, licensing issues, lead times, etc.
May be called upon to support shipping, logistics trade compliance, and finance (e.g., packing list, bill of lading, commercial invoice, etc.).
Main liaison with the 3PL team for preparation of spare parts in the Penang hub per customer order requirement.
Work with the 3PL team for delivery arrangement to customers.
Work with the 3PL team for quarterly inventory count.
Requirements:
High School Diploma required.
BA in business or business-related field strongly preferred.
3+ years' experience in one of the following: sales administration, inside sales, order administration, sales operations, customer service, finance, etc.
Must be proficient in MS Office applications including Outlook, Word, Excel, and PowerPoint.
Experience working with an MRP/ERP system (e.g., M2M, SAP).
SharePoint experience preferred.
Customer-facing Inside Sales or Service experience preferred.
Strong verbal and written communication skills.
Strong attention to detail and well organized.
This job operates in a professional office environment and routinely uses standard office equipment.

While performing the duties of this job, the employee is often required to move from one place to another, stay in one position for periods of time, and communicate with others and exchange information.
