Overview:
The role is responsible for supporting Corporate Affairs functions and activities to ensure effective communication and coordination with stakeholders, including Board members and top management. The role involves handling administrative tasks related to Board meetings, compliance, and governance, while ensuring smooth coordination across the organization. Additionally, this position supports process improvements, optimizes meeting practices, and assists with operational tasks that contribute to overall organizational performance.
Key Responsibilities:
Board Meeting Coordination:
-Assist with organizing Board of Directors meetings and trainings, including scheduling, booking meeting venues, checking systems prior to meetings, and arranging post-meeting luncheons and refreshments.
-Follow up on the submission of meeting materials and ensure their timely preparation and distribution.
-Prepare and compile meeting materials for distribution to board members.
Executive Committee Meeting Coordination:
-Draft and send meeting notices, distribute agendas, and share supporting documents with committee members and stakeholders in advance.
-Accurately record meeting minutes, circulate them for review and approval, and track action items to ensure timely follow-up with responsible parties.
-Collect and compile project status updates and other relevant information from departments for progress reporting and analysis.
Operational Improvement Support and Coordination:
-Assist in implementing standardized meeting agendas and templates to improve meeting efficiency.
-Help track the impact of process improvements and compile basic performance data for reporting.
Compliance and Governance Support:
-Assist in ensuring compliance with corporate governance principles by maintaining accurate records.
-Help with the preparation and submission of internal reports to departments such as Risk Management, Compliance, and Business Control to support internal governance, compliance and control processes.

-Bachelor's degree in business administration, Corporate Governance or a related field.
-Fresh graduates are encouraged to apply, with relevant internships or academic projects considered a plus.
