Duties and responsibilities: • For internal requirements (vessels):
o Monitor / expedite and source materials raised under internal Material Requisition Form (MRF) from vessels
o Products sourcing locally and internationally
o Request quotations from potential suppliers
o Compare and evaluate offers from supplier, for selection approval
o Negotiate further for better terms with the selected supplier
o Raising Purchase Order (PO) to vendor on relevant approval
o Follow processes as per the Marine Purchasing and Procurement Process Flow
o Maintain update record of MRF, PO, quotation MRF Management Database (MMD)
• For external clients:
o Monitor / expedite and source for materials requested by external clients via RFQs, eg Exxonmobil, PCSB etc
o Products sourcing locally and internationally
o Request quotations from potential suppliers
o Compare and evaluate offers from supplier, for selection approval
o Negotiate further for better terms with the selected supplier
o Raise Quotation to external Clients with approval
o Raise approved PO to supplier upon receipt of PO from external Client
o Prepare invoice to external Clients and ensuring complete supporting documents.
o Follow processes as per the Marine Purchasing and Procurement Process Flow
o Maintain update record of RFQs, quotations, POs and invoicing in the RFQ Management Database (RMD).
Tracking PO to vendors to ensure timely deliveryFollow up with suppliers and forwarding agent - expeditingLiaise with and update vessel on all delivery of items.Liaise with the Accounts Dept on payments.Update vendors on all payments remittance.Assist the PD towards establishing Price Agreements for all major assets (internal use).Attend trade shows or exhibitions to obtain marine products update.Perform any others duties and ad-hoc assignments as and when required. Qualification and Experience: Diploma or Degree (preferable in Supply Chain or Procurement Management).Minimum 1 – 2 year(s) of working experience in Procurement or as Buyer. Miscellaneous Advantages: Has a strong understanding of Procurement and Trading of spares.Possesses negotiation skills with positive attitude, able to work independently.Willing to travel impromptu on occasional urgent delivery requirement.Hard working, good communication, interpersonal skill and result oriented personalityIT literate – Excel spreadsheet and procurement management system
