We have an exciting opportunity for you to join our team asAssociate - Corporate Secretarialbased inBangsar South, Malaysia .
Reporting to the Manager, this full-time and permanent position is based in Kuala Lumpur and offers regional coverage, allowing you to make a significant impact on our corporate services and its growth.
Key responsibilities:
Attend meetings accompanied by Seniors, whenever required to do so, even on rest days and public holidays and/or out of town.
Responsible for the timely preparation of AGM Reminders/Documents, Annual Returns, and drafting of Statutory Forms and Documents (e.g., Directors'/Members' Resolutions).
Maintain the statutory books (i.e., Minutes Books, Registers, and other statutory records).
Prepare and draft announcements to Bursa Malaysia Securities Berhad, arrange and attend Board & Committee meetings, including preparation of notices, meeting papers, and drafting of Minutes.
Ensure strict adherence to internal policies/SOPs by team members.
Ensure timely billing (including the capture of all OPEs incurred) and collections.
Ensure best practice of corporate governance and compliance with statutory/regulatory requirements.
Ensure that all clients' documents/records are properly filed in the statutory records at all times and perform proper housekeeping of clients' records.
Ensure that all jobs/assignments are billed, including OPEs captured in a timely manner.
Acknowledge receipt of client's requests/queries/correspondences within 24 hours and respond no later than 2 working days.
Any other tasks as assigned by Management.
Key requirements:
Must have at least 2-4 years of relevant working experience.
Full ICSA qualification/graduate or possess a bachelor's degree in Corporate Administration.
Basic knowledge of Companies Acts, Bursa Malaysia Listing Requirements, CS Guidelines, and other related laws and regulations.
Must possess good communication skills, analytical and problem-solving skills.
Good command of both spoken and written English.
Familiar with filing of statutory forms and Companies Acts.
Able to work independently as well as a good team player.
Good interpersonal skills and able to work as a team.
Good sense of urgency and able to work under pressure.
Able to identify and demonstrate clear comprehension of customer and organizational needs.
Punctuality.
