Responsibilities:Pursue and monitor deadlines compliance by departments on operational matters, from proposal stage through execution and payouts.
Monitor, prioritize and maintain monthly billing payments are made on timely manner.
Analyzing and verifying on accuracy of incoming business proposal, memos, invoices and bills prior approval by Head of Company.
Administer business operational matters are in accordance to company's Standard Operating Procedures and Level of Authority, including Principal's requirements in term of corporate image, trading policy, etc.
Prepare and submit operational or market review reports to Principal's office as and when needed.
Maintain good relationship with Principal's office to ensure smooth arrangement of meetings and travel itinerary by both parties.
Prepare and edit business correspondence, communications, presentations, minutes of meeting and other documents.
Responsible in the whole process of general admin matters, including identifying and appointment of suppliers, contractors or vendors.
Administer and maintenance of procurement (OPEX/CAPEX), stationeries & printed items requisition and stock including payment and liaison with vendor, etc.
Administration of pantry, office facilities/equipment/maintenance, mailing services, etc.
Communicate with other executive assistants across the organization; on the matter of correspondences and appointments.
Control and managing the calendar of Head of Company and departmental meetings, appointments and deadlines.
Coordinate and prepare facilities for meeting, and arranging refreshments, if required.
Make travel arrangements, provide detailed itineraries, prepare and submit expense reports.
Coordinate and actively participate in wide range of company's event / program / activities as and when necessary / required.
