About the roleWe are seeking a friendly and attentiveCustomer Services Assistantto join our team atBARAKAH AUTO GLASS SDN.BHD'based inJohor Bahru, Johor . This is a full-time position that will see you playing a vital role in delivering exceptional customer service and support to our valued clients.
What you'll be doing
Key Responsibilities
Customer Interaction
Greet and assist customers in person, over the phone, and via email.
Provide accurate information about auto glass services, pricing, and scheduling.
Listen carefully to customer concerns and understand their needs regarding glass repair and replacement.
Appointment Scheduling
Schedule and manage appointments for glass repair or replacement services.
Ensure customers are informed of their appointment details and any necessary preparations.
Coordinate with the repair team to confirm availability and handle last-minute changes as needed.
Service Coordination
Assist customers with drop-off and pick-up procedures, ensuring a smooth service experience.
Communicate with the repair team to update customers on the progress of their service.
Handle follow-up calls to ensure customer satisfaction after the service is complete.
Address and resolve customer complaints regarding service or products in a timely manner.
Escalate complex issues to the supervisor when necessary and follow up to ensure resolution.
Document all customer complaints and resolutions for future reference and quality improvement.
Billing and Payment
Provide customers with clear and accurate information regarding service charges.
Process payments, manage receipts, and ensure all billing information is correct.
Handle any billing inquiries or issues with professionalism and accuracy.
Documentation and Record-Keeping
Maintain accurate records of customer interactions, appointments, and transactions.
Input customer details, service preferences, and feedback into the system.
Assist with preparing regular reports on customer satisfaction and common service issues.
Product Knowledge
Stay informed about the range of auto glass services offered, including types of glass, repair methods, and pricing.
Share relevant product information with customers to help them make informed decisions.
Attend any training sessions to enhance knowledge about new services and equipment.
What we're looking for
Required Skills and Qualifications
High school diploma or equivalent; experience in customer service is preferred.
Strong verbal communication skills in both friendly and professional settings.
Ability to work with basic office software (e.g., MS Office) and scheduling tools.
Experience in an auto-related or similar environment is a plus but not required.
Excellent problem-solving abilities and attention to detail.
Empathy : Understand customer needs, especially during stressful situations involving vehicle repair.
Adaptability : Able to manage changing schedules and customer requests.
Time Management : Handle multiple tasks efficiently, including appointments and inquiries.
Conflict Resolution : Resolve customer complaints calmly and professionally.
Attention to Detail : Ensure accuracy in scheduling, billing, and customer communications.
