Key Responsibilities (including but not limited to):Secretary Support:Provide comprehensive administrative support, including calendar management.
Responsible for drafting and reviewing emails to ensure timely, accurate, and professional responses.
Handle correspondence and maintain organized document management systems to uphold efficiency and professionalism in all tasks.
Liaison with University and Partners:Possess good Public Relation (PR) skills when assisting top management in building and maintaining relationships with government, universities and painters.
Coordinate meetings, follow up, and ensure compliance with regulatory requirements.
Event Coordination:Prepare agendas, briefing materials, and reports.
Coordinate all logistical arrangements, ensuring comprehensive information is readily available.
Organize and manage events, handling invitations, RSVPs, and all associated details to ensure successful execution.
Project Management:Assist in planning, executing, and monitoring collaboration on projects with government, universities, and partners to ensure projects are completed on time and within scope.
Additionally, track and manage budgets to ensure accurate reporting and adherence to budget constraints.
Strategic Support:Assist in developing strategies to strengthen relationships with government and university partners.
Conduct research on relevant topics, policies, and industry trends, providing summaries and reports to support decision-making.
Communication and Reporting:Facilitate effective communication within the organization, ensuring relevant information is disseminated promptly.
Coordinate with other departments as needed.
Professional Development:Stay informed about developments in government policies and build a professional network to enhance the organization's relationships with government, universities, and partners.
Funding and Grants:Assist in identifying and developing collaboration opportunities with government and universities.
Identify funding opportunities and prepare grant proposals for collaborative projects.
Coordinate with relevant parties to ensure successful application and management of funds.
Cross-functional:Work closely with other departments to ensure all tasks are delivered efficiently.
Job RequirementsQualifications / Requirements:
Pursuing a degree in human resources, business, psychology or a related field.
Relevant coursework or certifications in event planning can be advantageous.
Strong organizational and time management skills to handle multiple tasks and meet deadlines.
Excellent communication skills, both verbal and written, to effectively interact with team members, clients, and vendors.
Attention to detail and ability to work with precision in planning and execution.
Proficiency in computer applications such as spreadsheets, word processing, and presentation software.
Familiarity with job portals or platforms is a plus.
Creativity and problem-solving abilities to handle unexpected challenges.
Ability to work well in a team environment and collaborate with diverse individuals.
Flexibility and adaptability to handle dynamic change and work under pressure.
