Office Management (Administration & Office Support)
Full time
Responsibilities:
Manage HR administrative tasks, including attendance tracking and employee file management.
Responsible for renewing foreign worker passports and permits.
Calculate and process employee salaries, including overtime, allowances, commissions, and reimbursement, ensuring timely monthly payment.
Handle employee recruitment, onboarding, promotions, and other HR-related processes.
Compliance & Reporting:
Ensure accurate and timely submission of statutory reports (e.g., KWSP, SOCSO, LHDN, HRDF) each month.
Prepare and submit annual tax documents (e.g., EA Form, E Form, CP8D).
Accommodation Management:
Manage foreign worker accommodation, including tenancy agreements, inspections, and ensuring compliance with accommodation standards.
Renew and manage accommodation certificates for foreign workers.
Training Management:
Coordinate with external training providers to arrange internal and external training sessions based on company needs.
Evaluate training effectiveness and optimize future sessions based on feedback.
Arrange regular employee health checks to ensure compliance.
Apply for HRDF grants and manage related training fund matters.
Administrative Management:
Prepare internal memos, external letters, and other related documents.
Procure company items and dormitory supplies for foreign workers.
Handle tasks requiring travel to the bank, government agencies (if necessary), and procurement.
Update and maintain business licenses and insurance.
Ensure regular inspection and servicing of company equipment and safety facilities.
Cross-Department Coordination & Ad-hoc Support:
Facilitate communication and coordination with other departments to ensure effective teamwork.
Assist with ad-hoc tasks as assigned by management.
Confidentiality & Professionalism:
Maintain professionalism and confidentiality in all tasks.
Job RequirementsWe are looking for candidates who are fluent in Mandarin to effectively communicate with Mandarin-speaking personnel.
Candidate must possess at least a Diploma in Human Resource Management, Administration, or related field.
Proficient in Microsoft Office (Excel, Word, etc.
), payroll systems, and HR software.
Strong organizational and multitasking skills are essential.
Knowledge of the Employment Act and other related labor laws is an advantage.
Prior experience in a similar role is an added advantage.
Candidates who are able to start work immediately or within a short notice period will be preferred.#J-18808-Ljbffr
