The Library Assistant will be responsible for cataloguing and processing the library materials received, providing counter services, displaying new arrival materials, shelving books, undertaking weeding and stocktaking procedures, and other duties related to the collection and administration.
KEY RESULT AREAS / RESPONSIBILITIES
Cataloguing the library materials:
New materials received will be checked according to the Purchase Order Form and Invoice received.
New barcode will be stamped to the materials received.
Perform original and copy cataloguing of the materials.
Classification data will be inputted into the Oliver System.
Perform the clerical works of book processing - call number, school stamp, date of processing, department stamp, and wrapping the books.
Updating the library collection in the Oliver System.
Counter services:
Provide borrowing and returning service for books and magazines, reserving the items and attending all enquiries from library users.
Updating the borrower's records in the Oliver System - new users and those who are leaving (students, teachers, and administrative staff). Ensure the borrower's records in the Oliver System are linked with the Engage System.
Class booking in the library for the secondary department and follow the primary library period for classes in the library.
Teach and assist the users in accessing/retrieving and reserving the books in the library catalogue by using Chromebook.
Ensure the library rules and regulations are properly adhered to by library users.
Ensure a safe and conducive environment in the library.
Cataloguing and processing the magazines:
Magazines arrivals will be checked according to the Purchase Order Form.
New barcodes will be provided and stamped to each material received.
Classification data will be inputted into the Oliver System.
Perform the clerical works of magazine processing - call number, school stamp, date of processing.
Library related duties:
Weeding and stocktaking procedures for library collection.
Locate books or other materials to assist library users.
Performing the shelving process of library materials. Books and magazines are shelved in accurate classification numbers.
Identify the damage and worn library collection for weeding, replacement, and minor repairing.
Undertake minor library collection maintenance.
Preparing the list of those who are leaving to deal with the Account Department regarding the library borrower's account.
Setting up the Oliver System and Chromebook every morning and setting down at the end of the day.
Ensure lost and found items are properly maintained.
Contribute suggestions and opinions for work improvements.
Contribute ideas to the future directions and strategies of the library through participation in discussions.
Assist in managing and maintaining the resources, services, programs, and facilities of the library.
Assist Librarian in cataloguing and managing the resource center materials.
Update the booking/cancellation of the library usage.
Perform any other duties specified by the Librarian as and when required.
JOB SPECIFICATION
STPM / Diploma in Information Science.
RELATED EXPERIENCE
Minimum 2 years experience in the library environment. Experience working in the school library will be an added advantage.
Good written and spoken communication skills in English.
Computer literate and proficient in MS Office.
Working knowledge of Dewey Decimal Classification (DDC).
Working knowledge of office equipment and accurate keyboarding skills are necessary to manage clerical and cataloguing duties.
Knowledgeable in the Oliver System.
