VN13114 Marketing Operations Specialist
Location: MY-Kuala Lumpur
We are seeking a highly organised and detail-oriented Marketing Operations Specialist to play a central role in our APAC marketing operations.
This position is crucial for ensuring the seamless management of financial and administrative processes, including:
Marketing expense verification
Obtaining spending approvals
New supplier onboarding
Marketing Development Funds (MDF) and COOP claims
You'll work closely with our marketing, finance, and vendor teams to uphold accuracy, compliance, and efficiency across all marketing-related financial activities.

ResponsibilitiesWork closely with finance teams to verify all marketing expenses with precision, ensuring compliance with budgetary guidelines, corporate, and vendor policies.
Collaborate with the local marketing team to manage the end-to-end approval process for marketing-related spending requests, including incentives, sponsorship, programs, and activities.
Submit and track spending approvals to ensure that all marketing expenditures align with corporate requirements and are properly authorised.
Close all Internal Orders (IOs) where there is no further execution or expected costs, ensuring that financial records remain accurate and aligned with marketing activities.
Track any outstanding claims to ensure timely recovery.
Oversee the onboarding process for new suppliers, ensuring they provide all mandatory documentation, contracts, and tax requirements.
Serve as the primary point of contact for vendors, addressing any administrative or financial inquiries to support smooth vendor relations.
File and manage claims on the vendor portals and ensure that claims on hold by the vendor are promptly addressed by the marketing team.
Track invoices related to marketing activities, with a particular focus on MDF and COOP claims.
Manage end-to-end processes within workflow management tools, ensuring claims are submitted accurately with all required documentation from finance.
Ensure claims are submitted on time with correct proof of performance (POP) and in line with vendor requirements.
Respond to payment and claims queries promptly, providing timely updates to internal and external stakeholders.
Act as a bridge between marketing, finance, and country-specific teams to facilitate seamless workflows and resolve any administrative or operational issues that may arise.
Oversee accounts receivable (AR) and accounts payable (AP) processes tied to marketing activities, ensuring compliance with corporate standards and vendor policies.
Utilise Smartsheet, Power BI, or similar tools to analyse and visualise marketing expense data, providing insights to support strategic decision-making.
Provide Marketing Operations report and work towards KPIs set by Marketing and Finance management.
Coach and train colleagues as required.
Demonstrate problem-solving abilities by identifying and addressing challenges in financial processes and vendor relations, ensuring effective resolution and maintaining operational efficiency.
Experience, Skills, and Knowledge3+ years of experience in a finance or marketing operations role, with a strong foundational knowledge in AR/AP processes.
Solid understanding of tax regulations and compliance standards across multiple countries in the APAC region.
Proficiency in Microsoft Excel and financial systems; experience with Smartsheet, D365, Concur, and other similar workflow management tools is preferred.
Exceptional attention to detail and outstanding organisational skills, with the ability to manage tasks independently.
Excellent communication skills, with a proven ability to engage effectively with vendors, suppliers, and internal teams.
Prior experience working within a tech distribution industry would be advantageous.
Previous experience managing MDF and COOP claims in an international corporate environment.
In-depth knowledge of marketing finance workflows and vendor portal management.
Familiarity with digital workflow platforms for process automation and operational efficiency.
Fast learner with willingness to understand business needs and drive efforts to get things done effectively.
