Job Responsibilities
Record down any complaints from the tenants, users, etc.
should they called in and/or details of the complainants for follow-up actions by the other facilities' staff.
Attend to tenants/ owners complaints; issue work order/ service order and coordinate with the respective personnel to rectify the complaints.
Assist in issuing of toilet rolls and letter boxes application by tenant.
Assist and coordinate with supplier for company names or letter box and supply.
Assist in recording and monitoring of building's key listing/ labeling.
Prepare quotations, invoices, circulars and other documentation.
To be familiar with all the preventive maintenance contracts and agreements by the respective vendors and specialists, sub-contractors and proprietary vendors/ contractors.
Assist the Manager and/or Executive in the preparation of the administrative correspondences and documents.
Ensure the administrative records of the department are kept up-to-date and all necessary filings are updated.
Record and issue receipts to owners/ tenants on payment of miscellaneous charges, renovation security deposit, M&E Inspection and administration fees, etc.
Assist in follow up the renovation works by ensuring proper and complete submission of drawings and timely processing of documents for renovation approval.
Assist to attend the renovation application matters such as processing renovation work for approval, coordinate with the different sections approval of renovation plans, processing and refunding of renovation deposits.
Liaison with tenants/ owners, security department and contractors during renovation stage.
Ensure all related application forms are being filed up and submitted and properly circulated for approval.
Assist in monitoring renovation works in accordance with in-house rules.
Assist in handover of vacant units to tenants including preparation of documents, unit's key and etc.
of handover/ takeover.
Assist to charge renovation inspection fees on renovations that take place on Sundays/ Public Holidays in accordance to in-house rules.
Assist in issue renovation work approval sheet, prepare renovation refund documentation, collect and refund renovation security deposits.
Assist customer services when necessary in the event of short handedness.
Assist to prepare and update Tenants List and contact.
Assist to issue purchase requisition and key-in material requisition into Building MIS System when necessary.
Assist in contact, follow-up with supplier/ contractor/ tenant and/or owner for appointment, quotation, etc.
Assist in preparing quotation comparison and invite suppliers to submit quotations through fax if necessary and assist superior to make comparisons using analytical skills; summarized quotations from suppliers before making recommendation to superior.
Process new application for access cards, lost and found cards and temporary cards.
Perform ad-hoc duties as and when assigned by superior.
