Day-to-Day Responsibilities
Legal department digitization project: migration of paper records to an electronic document management and matter management portal; Assist the legal team in managing the contract lifecycle management tool; Create signed contract archive and matter folders; scanning, labelling and uploading of legal and corporate records;
Document manager for legal department: Administer digital signatures, document management and tracking; maintaining signed contracts database and databases for precedents, filing templates and know-how; assist in setting up document workflow processes and controls.
Online work intake form: Manage, monitor and coordinate online legal work request form, help improve overall workflow processes;
Assist company secretarial manager with maintenance of electronic database for corporate registers, records and forms;
Address internal inquiries and run training on database access for business stakeholders;
Respond to information requests, whether for M&A projects or legal/corporate records from internal stakeholders;
Assist in preparing periodic reports for the legal department;
Assist in organization of department meetings;
Assist in tracking statutory deadlines and case management;
Administer accounts for relevant electronic portals, whether internal or governmental, for legal department purposes, including e-signature tools;
General law department administrative duties, including document proofreading, invoice management and processing, track legal expenditure, compile service agreements from law firms + providers.
General ad hoc tasks required by the lawyers, including draft/proofread internal policies, NDAs and procurement agreements, create PowerPoint slides for training, research, prepare internal reports and PowerPoint presentations.
What are we looking for
Bachelor's degree or diploma in law from a reputable institution;
Minimum 5 years' experience at local or foreign law firms or internal legal departments would be desirable;
Fluent in English is a must, ability to read and write Mandarin as an added advantage to support North East Asia region;
Prior experience in setting up or managing legal databases will be advantageous;
Adopt an agile mindset, be digitally adept, self-motivated, passionate, and with an eye for attention to detail;
Capable of multi-tasking in a fast-paced environment, able to meet tight timelines and work independently;
Excellent interpersonal skills and the ability to work collaboratively in a team-oriented environment, both within the organization as well as with external partners;
Very good written and oral communication skills, with the ability to communicate and present complex ideas effectively.
