Workplace Experience Assistant Manager (1 Year Contract)Office Management (Administration & Office Support)
Contract/Temp
Vendor Management:Coordinate with vendors, contractors, and suppliers for facility-related services and supplies. Acts as the liaison between the company and the landlord for the company's property, maintenance, security and safety needs. Evaluate vendor performance and negotiate contracts for facility-related services.
Project Management:Responsible for HO & Sales office facilities. Coordinate the office renovations/ moves/ expansions/ relocations while ensuring minimal disruption to business operations. Responsible for all Planned Preventative Maintenances and Corrective Maintenances.
Manage office building related onboarding activities in coordination with TA Manager & HR Business Partner (e.g., office pass, onboarding to Reckitt facilities related procedures & training).
Office Administrations & Budget Management:
Office Admin:Supervise and manage office administrative tasks, such as office supplies procurement, mail handling, and front desk operations. Ensure the availability of necessary office equipment and resources for smooth daily operations.
Ensure that mails and couriers are collected in a timely and efficient manner and where needed routed to appropriate stakeholders.
Budget Management:Develop and manage the budget for general affairs and facility operations. Monitor expenses, negotiate contracts, and identify cost-saving opportunities.
Ensure the arrangement of petrol cards & manage season car parking for employees.
Wellness champion for the local market, organizing & coordinating employee wellness programs, both event-based & recurring programs (i.e., Yoga, Futsal, Badminton, etc.).
Implementing Employee Assistance Program (EAP) in collaboration with EAP service provider.
As Health & Safety Lead, ensuring that the workplace meets the Health and Safety standards, closely liaise with building management on health & safety activities.
Requirements:
Bachelor's degree in any field from a recognized university or relevant professional qualifications (degree in Facility Management and/or Health & Safety Management preferred).
Minimum 5 years relevant working experience in office service, building management, facility management.
Computer literate and proficient in MS Office applications.
Good interpersonal skills as the role requires a lot of coordination internally and externally. Can influence.
Flexibility in thinking and pragmatic problem-solving skills.
Strong ability to review and identify issues and opportunities in business.
Strong team player & good in collaboration with stakeholders.
Ability to work under pressure and tough deadlines.
