The Office Automation and Technical Support Manager is responsible for overseeing office technology systems, managing IT support, and leading the entire lifecycle of all workstation equipment e.g. laptops and devices. This will cover all staff in all Malaysian offices (Titiwangsa, Menara KH, Cyberjaya, Penang)
This position is ideal for a tech-savvy leader who excels at implementing automation tools, managing device procurement and distribution, delivering excellent user support across the organization, and providing strategic leadership in technology deployment to enhance productivity.
Key Responsibilities: 1. Office Automation Management: Oversee the selection, deployment, and management of office automation tools (e.g., M365, Microsoft Dynamics, JIRA). Work closely with department heads to assess needs and identify opportunities to automate repetitive tasks and streamline office workflows. Manage vendor relationships and liaise with external service providers to ensure timely upgrades, support, and integration of systems. 2. Internal Technical Support: Lead the internal technical support team to provide high-quality, timely support for staff on hardware, software, and network-related issues. Implement and maintain helpdesk systems to track, prioritize, and resolve employee IT issues efficiently. Develop and enforce IT support policies, procedures, and documentation to maintain smooth operations and ensure security compliance. Developing and managing the organisation's private Sharepoint intranet. 3. Equipment Procurement and Management: Manage the team responsible for procuring, configuring, and distributing laptops, mobile devices, and other office technology equipment like meeting room electronic equipment. Ensure the timely provision of technology to new hires and existing employees, including the setup and deployment of devices. Oversee inventory management for office technology assets, including tracking, repair, and lifecycle management of devices. 4. System Management & Upgrades: Oversee the regular maintenance, updates, and troubleshooting of office hardware and software systems. Ensure all office technology, including printers, computers, phones, and networking equipment, is functioning optimally. Implement backup, disaster recovery, and cybersecurity protocols to safeguard company data and ensure business continuity. 5. Training and Development: Lead, develop and mentor the IT admin and technical support team Organize and deliver training sessions for staff on new office automation tools, software, and IT policies. Develop user guides and technical documentation to enhance self-service support. 6. Strategic Leadership: Collaborate with senior management to identify technology-driven opportunities that will increase organizational efficiency and innovation. Stay up-to-date with the latest office automation trends, software solutions, and best practices in technical support. Qualifications: Bachelor's degree in Information Technology, Computer Science, or a related field. 5+ years of experience in IT support, cloud solutioning, office automation, or a related field, with at least 2 years in a management role. Strong technical knowledge of office software systems, workflow automation tools, network infrastructure, and cybersecurity practices. Excellent problem-solving skills with a proactive and hands-on approach to troubleshooting. Experience in managing IT projects, including system rollouts and upgrades. Strong communication and interpersonal skills, with the ability to work with non-technical staff and cross-functional teams.
